
Transferring Frozen Semen
Semen Transfer Policy
Prickly Pear Canine supports client-initiated transfers of cryopreserved canine semen to or from other storage facilities. The following policy outlines requirements, responsibilities, and limitations related to the transfer process.
Client-Initiated Transfers
All transfers into or out of Prickly Pear Canine Cryobank must be initiated and authorized by the legal owner(s) of the semen. Prickly Pear Canine Cryobank does not solicit or initiate transfers from other facilities.
Written authorization from all listed owners or co-owners of the semen is required prior to transfer.
Transfer Eligibility
To be eligible for transfer, the specimen must:

Be legally owned by the requesting client

Have complete and verifiable documentation, including collection records and storage history

Be in compliance with applicable state and federal regulations governing transport of biological materials
Prickly Pear Canine Cryobank reserves the right to decline acceptance of specimens that do not meet documentation or condition requirements.
Coordination With Releasing Facility
Transfers must be coordinated directly between the releasing storage facility and Prickly Pear Canine Cryobank to ensure proper handling, chain of custody, and temperature control.
Clients are responsible for:

Contacting the releasing facility

Paying any release, handling, or transfer fees charged by the releasing facility

Authorizing shipment or courier arrangements
Prickly Pear Canine Cryobank cannot compel or override policies of the releasing facility.
Shipping and Transport
All transfers must be performed using approved cryogenic shipping methods, including liquid nitrogen dry shippers or other industry-standard transport systems.
Prickly Pear Canine Cryobank is not responsible for delays, damages, or loss occurring prior to acceptance of the specimen at our facility.
Group Shipments & Courier Transport
In the event of a group shipment, shipping costs may be divided among all participating clients as a courtesy, when feasible.
When the releasing facility is within a reasonable driving distance, Prickly Pear Canine Cryobank may, at its discretion, elect to personally transport a cryogenic shipper tank to and from the releasing facility to reduce transit risk and streamline coordination.
Mileage for courier transport will be billed at $0.80 per mile, calculated based on round-trip distance.
Inspection Upon Receipt
Upon arrival, specimens will be inspected for:

Container integrity

Labeling accuracy

Quantity verification

Documentation completeness
Prickly Pear Canine Cryobank does not guarantee post-transfer viability and is not responsible for changes in quality related to prior collection, handling, storage, or transport.
Storage Acceptance and Fees
A one-time transfer processing fee of $45 is due at the time the transfer request is submitted.
Upon acceptance of the specimen into Prickly Pear Canine Cryobank’s storage inventory, an annual storage fee of $150 will be due and payable at the time of acceptance.
Storage fees begin once the specimen has been received, inspected, and formally accepted into storage.
Limitations of Liability
Prickly Pear Canine Cryobank assumes responsibility for specimens only after confirmed receipt, inspection, and acceptance into storage.
Prickly Pear Canine Cryobank is not responsible for:

The condition or viability of semen prior to transfer

Actions or omissions of the releasing facility or shipping provider

Delays or refusals by a releasing facility
Right to Refuse Transfer
Prickly Pear Canine Cryobank reserves the right to refuse acceptance of any specimen for reasons including, but not limited to:

Incomplete documentation
-
Improper transport conditions
-
Regulatory or compliance concerns
Acknowledgment
By requesting a transfer, the client acknowledges and agrees to the terms outlined in this Transfer Policy.
